Khatri Clinic

Dr. Ashok Khatri is a well-known diabetes specialist in Ahmedabad with over 20 years of experience. His approach to patient care goes beyond simply prescribing medication, he is known for his comprehensive patient counseling and his emphasis on lifestyle changes, empowering patients to effectively manage their chronic conditions. He has an incredible track record by serving more than 10,000 patients. However, with the increasing complexity in maintaining patient records and medical history, maintaining digital records was the solution.

Dr Ashok recollects: "We added an in-house pharmacy 6 years ago to make medicine availability easier for patients, "Ironically, it created MORE work because pharmacy operations became difficult”

The Daily Challenge

What bothered Dr. Khatri most wasn't the extra work – it was watching patients wait unnecessarily. Here's what happened daily:

  • He'd prescribe medications on his Ekacare EMR system
  • Pharmacist would physically CHECK if medicines were available in the pharmacy, if not the Pharmacist required to ask the doctor to change the medication which are available in the pharmacy
  • Pharmacists retyped everything into their separate system
  • Patients waited... and waited... and waited

Plus, there was no way to know about alternatives when medications weren't in stock due to his old, out-dated software. "Sometimes we had perfectly good substitutes sitting on shelves, but neither I nor my pharmacist knew it," he explained.

This also created a problem with overstocking medicines and increased the expiration of products.

Patient privacy concerns added another layer of trouble – everyone could access everything in their old ERP software. That was a big concern for Dr Khatri !

The Solution

The solution came during a chance encounter with Ekacare team, where they mentioned about eVitalRx’s features & integration possibilities.

eVitalRx has a centralized product catalogue that is common for all the pharmacies on the platform. The catalog contains information about salt composition, substitutes, manufacturing details, and product images. This allows the pharmacist to check for available substitutes in the pharmacy.

While pharmacists could access alternative options, they still needed to ask the Doctor to change the medication. To avoid this, the need for integration arose.

Ekacare & eVitalRx operated on cloud – the magic ingredient needed for seamless integration. Now the systems started talking to each other in real time, allowing for a seamless exchange of information like medicine stock availability, alternative medicines, and patient information between both systems.

Medicine Availability

What Changed After Integration? Everything!

The integration was just perfect but  Dr. Khatri admits there were "a few challenge - filled days" during transition.

The migration of existing data from the desktop-based software to eVitalRx required mapping between the item codes of their existing software and eVitalRx. Training the pharmacy staff to use the new software was also necessary.

However, the results were worth it:

Zero Bounce

Zero Bounce

During appointments now  Dr. Khatri sees exactly what meds are available while writing prescriptions. No more guesswork!

Reduced expiry

Reduced expiry

When something's out of stock: The system suggests alternatives to be rolled out of the current inventory instead of sitting on shelf, waiting to expire.

Quick yet errorless billing

At the pharmacy counter, Prescriptions appear automatically as draft invoices. One click and done! No re-typing, no errors.

Patient data safety

Different staff members now have controlled access limited to their role, ensuring complete privacy of patient data.

eMpact That Matter

After using this integrated approach for 12 months, the clinic has documented:

  • 30% faster prescription processing time, from consultation to dispensing
  • Near-elimination of dispensing errors, no manual changes need to be made by the pharmacy staff
  • Dramatic decrease in staff interruptions during consultations. Now, the Doctor doesn’t need to re-write prescriptions for unavailable stock.

Additionally, improved patient satisfaction scores were a direct result of all the above eMpact.

Most importantly, Dr. Khatri notes: "I've reclaimed at least an hour each day that used to be wasted on system workarounds. That's an hour more for patients – or occasionally for myself!"

"The best technology," he says, "is the kind you barely notice because it just works. That's finally where we are."
